Minutes of the Club Meeting Held on 11/17/01: (Recorded by Robert D. White, EHC Secretary) Opening and officer/director reports: The meeting was called to order by the President, Robert F. White, at 3:04 PM. The Secretary, Robert D. White, read the minutes from the previous club meeting on 9/29/01. Sam Stafford motioned to accept the minutes as read– Motion carried. The Treasurer, Joe Marschak, read the up to date financial report. Harvey Hayes motioned to accept the financial report as read— Motion carried. There were no other reports from other officers or directors. Old business: Vote on Proposed amendments to Const. & By-Laws: (see previous newsletter agenda or the club secretary for exact details): Proposal #1, rewording of Rule 3, Section 5 to clarify exact meaning- passed by majority affirmative vote. Proposal #2, strike out last portion of Rule 4, Section 1 -passed by majority affirmative vote. Proposal #3, rewrite Rule 6, election procedure, to make it consistent with current method of nominating officers and to provide better checks and balances by not allowing offices of President, Vice-President and Treasurer to be held by the same person. –passed by majority affirmative vote. Proposal #4, create Rule 8, Section 3, to determine a procedure in the event of the permanent loss of the President. –passed by majority affirmative vote. New Business: The President formed a fund raising committee for 2002: Tim Eicher, Sam Stafford, Chuck Burkett Motion: by Robert D. White (2nd by Harvey Hayes): Change in By-Laws: Change Rule 1, Section 3 to read as follows: “Juniors are considered to be honorary members. Junior members shall have the right to play in any indoor or outdoor league or tournament hosted by the club. All applicable club fees will be waived for all junior club members under the age of 18 years old. Junior members may not hold office or vote on any issues. However, junior members will be allowed one vote on issues that pertain specifically to junior members, as determined by the club officers.” Motion: by Harvey Hayes (2nd by Jerry Eicher): Contingent on passing of previous motion– The previous motion shall be retro-active to January 1, 2001, and all juniors who paid any dues or fees shall receive an immediate refund. At this point, a poll was conducted by the President to determine the general feelings of the membership on the previous two motions— count was 11 to 1 in favor of both. (Continued) Motion: by Tim Eicher (2nd by Harvey Hayes) Cash rebates ($20 to $50) of indoor dues to all indoor members from proceeds of increased ticket sales. Details: Increase the sale of the lottery tickets from just six months to year round and then rebate all indoor pitchers who have paid their dues in full by 12/31/?? Between $20 and $50 (exact amount to be determined by the membership). This rebate will be paid at the end of March to all qualifying indoor members. Reasoning: Tim feels that since 95% of lottery ticket sales come from indoor members and most of the concession income is generated by indoor leagues, the indoor members should benefit in some additional way from their efforts in selling these tickets. Tim realizes that there is likely to be opposition to this from members who feel that all income should go to the building fund. His thoughts are that if we don’t start trying to keep the indoor members happy by offering rewards and incentives for ticket sales, then there soon won’t be any need for a building. The cost of the membership fee rebates could be absorbed in two to four months of ticket sales, depending on the amount of the rebate, leaving 8 to 10 months of ticket sales profits for the club’s building fund— Still at least two months more than we now get. It was then suggested that, due to the possible increase in popularity of the new outdoor courts, the club should be sure to reserve the new public courts with the parks department for all dates of planned events, including leagues. Motion to adjourn by Chuck Burkett at 4:28PM. Motion Carried.
